Aureus is the study association for all students in Economics, Business Administration and Business Economics at the VU Amsterdam. With around 4,000 members, Aureus is one of the largest and most active study associations.
Aureus’ mission is to provide students with extra perks in the form of services and activities. The association has connections with future employers, like banks and consultancy firms, firstly to attain sponsorships, and secondly to put them into contact with Aureus members.
The existing systems for relationship management (students, members, alumni) and CRM (sponsoring and study projects) were inadequate and did not mesh properly. Communication was a challenge. In a corporate market of sponsors and subsidized study projects, with limited potential relations and many competing study associations, commercial opportunities were often missed due to inadequate registration and follow-up thereof.
Furthermore, there was no integration between the website on the one hand - which required renewing either way - and the back office systems on the other hand. It was time for a change. Seeing as the council of a study association changes every academic year, the solution to this challenge needed to be realized within a short deadline.
Streamlining with Salesforce
Salesforce has been implemented to change the existing systems for managing relations, members and alumni. All data from the old systems has been migrated to Salesforce. A third party developed a Wordpress-based website, including integration with Salesforce. Reports and dashboards have been created so that council members with with commercial responsibilities can easily follow up on and verify the pipeline. Salesforce’s campaign management is used for events.
Following Up in a Structured Manner
All opportunities for sponsoring and subsidized study projects can now be followed up closely. Communication with members (aspiring, current and former) happens in a structured manner, and all activities are saved. Events are created and managed in Salesforce, and are shown on the website, where members can sign up for them. All of this information is then saved again in Salesforce. Members can also look into their personal details and change them on the website. These improved processes make Aureus a result-driven organization, in a strong position compared to competitors.
